The executive did a virtual meeting for October as the meeting planned for October 8th was cancelled due to the illness of the hosting executive. The following is a record of the email reports.

In conversation with Lily the two of us thought that the club might consider raising the paid dinner charge to $12 or $15. Something to think about……
Re: Christmas Party
If all 60 tickets sell the projected amount of money collected will be $1292.00.
A down payment of $491.40 was made in June. The total of these two amounts is $1783.41.
Last year our total cost (including a tip of $210.90) was $1987.50. I imagine the cost could be higher this year.

50/50 total was $139.00
ticket printing cost was $89.60 (We won’t have this expense, thanks to Rose.)

Updated report sent by email and will be attached to the minutes in the red book. Total 44 memberships. Updated membership list also sent via email with Vander’s new address. Syl provided a list of reminders from previous Christmas parties. 2 members will receive 15 year pins and Syl will gladly present.

Lucette only has photos from the Templeton’s so not much of a tour by photos for the November meeting. She requests any suggestions on something else to add at the meeting? Lucette can do a tour of the Mediterranean (from our cruise) but no real garden photos just old buildings and churches Ideas? Betty will put together some photos from their recent garden renovation.

Old Business
Christmas Party
Greg chaired a Christmas Party Committee meeting on October 10th and made the following notes: Some questions arose that I maybe should have asked the exec’s before the meeting:
Since not a lot of members show up to the November meeting, when and how do those members pay for their Christmas ticket? The contract with the caterer has the amount of 60 people. Are we locked in to that if we have under 60? Did we have many people paying at the door the night of?
We know the caterer was late last year. Did he use the ovens or was food hot and he just put it in heated chafing dishes? Vince would you like to stay as the contact person with the caterer? If you are we do not see cranberry sauce in his menu and we know how that turned out last year.
Syl is checking for us if we have room from 4:30pm to 9:30pm. If we do can we mention in newsletter to ask members to come at 5:30pm?
For the November bulletin Vince please mention food bank donations. I will collect again this year.
If anyone would like to donate a prize or two please bring to November meeting.
Joanne thinks we have about 40 gifts so far. Out of the gifts we will pick one for the best hat, outfit or shoes that was mentioned in the previous bulletin.
I think I mentioned everything we were concerned about. Please add if I left something out. Action item: All executive members to review Greg’s report and send any clarifications via email.
