Executive Meeting January 8, 2019

Minutes

Called to order at 7:07 by Lucette. Thanks to Dan for hosting the meeting tonight. Welcome to Vince and Greg, 2 new steering committee members.

Treasury Report: Elizabeth

Attached to the minutes in the ‘red book’. Total investments down year to year, $906.41. This will be presented at the AGM.

Nothing to report

Guest speaker / Advertising Coordinator: Greg Templeton

Speaker honorarium discussed, with guidance to Greg re budget. Lucette will increase the speaker budget to 600 to 700 per year. Greg is confirming a landscaper friend for the February meeting. Increasing costs of speakers was noted by the committee.

Bonsor Liaison and Membership: Syl

Nothing new to report.

Newsletter: Vince Wesley

Lucette and Vince met with Branko to pass over information and got the binder. Vince will do the Feburary newsletter. Vince has a 30 day free trial software package for the newsletter platform. He may need to purchase the software in the future. Louise Meville was the subject of a nice story in the Vancouver Sun about paying it forward. Consider putting it in the newsletter. Lucette will determine the deadlines for the newletters, and it will be attached at the bottom of these minutes.

Sunshine:  Judy Vander

Nothing to report. Nancy Lomas has had a recurrence of cancer. Dan does not wish us to send a card at this time but will keep us updated.

Fall Fair: Lucette Wesley

Potato variety will Marida, early maturity. Dan has ordered from Westcoast seeds. Betty and Jennifer will not be attending the 2020 Fall Harvest Fair as it conflicts with the national dahlia show.. Lucette will keep this in mind and consider moving the fair back a week. Discussion about going to a one day Fall Harvest Fair. The pros are that we would save on rent, and reduce volunteer hours. The cons are that we would have a very long day on the Saturday. Lucette will bring it up at the AGM, and get feedback. The two day format will remain for 2019.

Old Business

Christmas Party

Thank you to Judy for Christmas party. Letter ? never sent. Elizabeth will ask Judy. Lucette will need to ask for a Christmas party co-ordinator volunteer at the AGM.

New Business

AGM

AGM motion to continue with steering committee is needed.

AGM will need to discuss catering, cost, and need a Christmas party chair. Continue to work with steering committee, budget, considering bigger loss if we continue as is. Increasing budget for speakers x 6. Greg to ask for suggestions for speakers. Consider increasing the cost of the Christmas party in 2019.

BC Council of Garden Clubs

April 6th 2019. Dan will attend, mention about the space, Elizabeth will ask Judy if she would like to go.

Plant Sale

Charmaine going away in February, but will back in time, no date confirmed yet. Dan has the tables.

Presentation at the library

Planned again for 2019. Date(s) to be determined.

Summer Garden Tours

To be determined, to ask at the AGM. Greg and parents are considering hosting a tour.

Show Bench and Judges

Jennifer has agreed to organize show bench for 2019. She will ask some guest judges. Jennifer and Betty will do the decorative, and review the other sections. “A lonely little petunia”, an idea borrowed from the Langley Garden Club. We will distribute petunias to all interested members at the May meeting. They are to be planted in unusual containers, and brought in for judging at the July meeting. Betty will source the plants. Betty will repeat the “Dahlias galore” at the August meeting. Greg will assist with greenery. The money has not been finalized, as the club has operated at a loss this year, we should check with the membership again.

Raffles

Consider 50/50 tickets.  When Daphne volunteered to do the raffle, she did not realize it included shopping. Lucette will ask the membership if they would prefer a 50/50.

2019 Schedule

Next steering committee meeting is Feb 12th, chaired by Lucette, at Dan’s. Lucette will send out a calendar of 2019 dates. A copy will be kept in the ‘red book’.
