Executive Meeting January 20, 2020

Called to order at 7: 03 by Lucette. Thanks to Dan for hosting and for letting us know about the road last week.

Treasury Report: Elizabeth
See December statement in the ‘red’ book. Subsidy of 322.45 for the Christmas party which is considerably less than the previous year due to a lot of support from club members. Donation from Sophia, centrepieces by Martine and Betty, gift from Greg, punch from Martine and moderately increasing the ticket price. BC Council affiliation and insurance will be $161.80 due February 19th. Judy is coming off as a signatory on the bank account, Lucette to be added.
Action item: Elizabeth and Lucette will prepare financial statements for the AGM.
Membership / Bonsor Liaison Syl
Nothing yet to report. Syl has sent an email to Bonsor to confirm dates for 2020
Secretary: Betty
Website: the .org domain will expire. At this time if anyone lands on the .org website, they are automatically forwarded to the .ca website. Plan to extend the domain by two more years, and transition from then. Moved by Syl, seconded by Lucette.
Action item: Betty to ask Frank what the fees projected fees for 2020 will be and forward to Lucette and Elizabeth.
Potatoes
Ok to send notice about potatoes in newsletter. Action item: Betty to send to Vince.
Guest speaker / Advertising Coordinator: Greg by email
The speakers on bees are confirmed.
Newsletter: Vince
Calendar dates are organized for the year, and will be attached to the minutes. Action item: Betty to email Diane and get information for John Chepil, ask for a picture. Vince would prefer that articles be in the body of an email rather than as an attached word document.
The deadlines will be two weeks prior to meeting. Thank you needed for the Christmas party committee. Vince will publish the words from the Christmas song. Action item: Syl will provide a recipe for a good hearty soup.

Showbench planned in February Action item: Betty to confirm Jennifer, schedule to be decided.
Fall Fair: Lucette/Dan
Action item: Dan will order the potato Gem russet from West Coast seeds.
New Business
AGM
Lucette will present the following motion:
In order to ensure continuity in operation of the club (given there is no elected President or Vice-President) we put forward a resolution that:
For the period beginning February 1, 2020 and ending January 31, 2021, the executive committee members will rotate the role of chairperson and organize monthly club meetings and club business according to the changes voted on at today’s AGM meeting. Moved by, seconded by, all in favour,
Fall Fair
Action item: Lucette will discuss the fall fair and get feedback regarding a one day show with set up on Friday immediately following the AGM.
BC Council Meeting
April 25th at Bonsor auditorium, Dan to be the voting delegate and will organize a raffle prize. Action item: Lucette will: email an invitation in order to Lily, Charmaine, Lucy,
Plant Sale
Action item: Lucette to talk to Charmaine regarding possible dates.
Garden tours
To be discussed at next meeting. Would be nice to have spring gardens on tour.
Showbench and judges
Action item: Betty to talk to Jennifer and plan 2020. Donna was a popular judge.
Presentation at the library
Lucette has contacted the Burnaby library. Lucette to contact Charly re seeds. Syl will do container gardening.
Members privacy
Action item: Syl to write a note for the newsletter about remembering to renew and a note reminding people to decide whether they would like their email shared and contact information shared or not on the renewal application.
