Executive Meeting – Sept 2026

South Burnaby Garden Club Executive
Minutes
September 22 2026

Called to order at: 7:31

In attendance: Lucette, Lorna, Elizabeth, Betty, Maria, Elly

Regrets: Sofia

Treasurer Report: Elizabeth

A copy of the updated treasurer’s report will be in the ‘red’ book. The total cost for the 125th anniversary was $160.68 which included printing, posters, obtaining archive photos and seed package labels. Lorna has $15 for vegetables purchased by a friend at the fall fair and will bring to the potluck. A full accounting of the FHF will be in the ‘red’ book.

Bonsor Liaison: Sofia

Thank you for t-shirts; they are beautifully embroidered!

Bonsor has sent an email regarding application for next year that needs to be submitted by March 1 next year.

Some of the executive were curious about the number of hours we get charged at Bonsor for our rental. They have been generous in not charging us as many hours as we’re actually using them. For example, with the Fall Harvest Fair, we got charged 4 hours on Saturday and Sunday each and custodial fees for the total of 8 hours. For the potluck and Christmas events, we get charged for 2.75 hours even though we have excess to the room from 6:00-10:00 for the potluck event and 4:00-10:00 for Christmas. Syl reports that some people have questioned the costs of renting Bonsor and whether they should provide other resources. Considering the substantial break we are getting on rent, we shouldn’t pursue that.

New Business

Potluck

Betty will write a note about a group picture for the potluck and ask people to wear their SBGC t shirts (new or vintage) with the birthday cake.

Sofia will bring extra plates and cutlery in case there are members who forget.

People need to come for 6. Lorna is making punch. Lorna Gross to do grace. The trophies will be there for pick up, no presentations.

Lucette will ask about Christmas asking for volunteers and ideas for entertainment.

Christmas Party

Martine has checked and the caterer is available. Martine is organizing the down payment. Lucette will ask for volunteers and ideas at the October meeting. Maybe sing Christmas carols. Lorna will look into a magic act (30 minutes).

Old Business

Fall Harvest Fair (seed packets were a hit)

Feedback:

• There were less goodies to sell.

• One attendee suggested a sticker or sign to say upstairs. The rolling signs at the main desk or outside did not mention the FHF. We need to consider more signage, possibly out to Nelson.

• Consider closing at 3:30 next year.

• Comments on the floral art could be hardly read.

– Raffle tickets were closed early because the Mayor arrived early and some people were disappointed.

125 th Anniversary Celebration Committee

Birthday cake and group photo at the potluck

SBGC properties

Dan has called Lucette to say that he has found more SBGC items in his house, bank statements and a sign. Lucette will go over and check them out.

Houseplants

We were contacted through the website by someone who is looking to adopt out his houseplants. Lucette will ask Sofia if they can take a look together. Syl will help if Sofia can’t.
