Executive Meeting Jun 11, 2019

Due to illness and prior commitments the steering committee did not have quorum on June 11, 2019. It was decided to have a virtual meeting via email during the week of June 11, 2019. The following is a summary:

Membership: Syl

Membership report will be attached to the minutes in the red book.

Treasurer’s Report: Elizabeth

A copy of the current report will be attached to the minutes in the red book. The actual cost of the FHF draw tickets was $112, but a credit of $5.60 from Media Graphics reduced it to $106.40. Elizabeth spoke to Mildred Johnston (All Saint’s Anglican Church) when she contacted her about our donation to the church which she will update at the next meeting. She reported that their income was less than last year.

Fall Harvest Fair: Lucette

Carole, Dan and Lucette met at Dan’s on May 16th.. There are enough supplies for everything but Lucette brought the Division/category signs home to see if any need updating/repair.

Dan did have 3 small trophies that are metal (not plastic) and we wondered if we should use them this year for the 3 categories without trophies. It would mean using them 2 years (plates on 2 sides), then removing engraving plates and replacing them. What do the rest of the Executive think? I can bring them to the next meeting.

Carole has decided she cannot volunteer to do the donated prizes as they will likely be away in September. Syl was going to see if we could get a volunteer at the meeting. Charly and Martine have volunteered to pick them up. But I was hoping someone would send out emails etc. I will try to find time to do that in the next 2 weeks.

Syl cannot MC the FHF winners, and prizes. Anyone on the executive want to take that on? I can probably do it if no one else is available if I get help with prizes.

We will need a volunteer for children’s coloring, to pick up judges lunches, and other volunteers on Charly’s list.

Guest Speaker/Advertising Co-ordinator Greg

Greg has been in touch with Nick to present on the Japanese Beetle for July meeting but have not heard back yet. Does anyone else have ideas of what they would like to hear about?  Lucette would you like present on your mini hanging basket?

At the picnic should we have a thank you cake for Paul and Judy since this is probably their last year! Just a thought. I’m not sure but I don’t think Judy will be driving in to meetings from White Rock.

Christmas update: Did we book the caterer? Joanne let me know that a neighbour of hers is moving so she gave her about 30 gifts. Very generous! Gift Wrapping party!
