Minutes

Called to order by Lucette at 7:06. Betty, Dan, Elizabeth, Lucette, Vince, Maria, Sofia and Syl in attendance

Betty’s Updates

I was not clear enough regarding our discussion about moving our bank accounts to Vancity to allow Lucette and Elizabeth to proceed. I have reworded our discussion in the minutes at Lucette’s request.

Treasurer Report: Elizabeth sent by email / AGM documents to come

Treasurer’s report circulated by email and will be attached to the minutes in the ‘red’ book. AGM documents in progress and Lucette will circulate when completed.

Still having difficulty getting into the online banking system. Lucette suggests that we move to VanCity as it is an institution that is more community focused.

The executive unanimously agreed to open an account for the South Burnaby Garden Club at Vancity and to move our club funds to Vancity now, and to move the GIC’s as they come due. We will continue with Elizabeth Beer as Treasurer and Lucette as the second signer responsible for the account.

Our reviewer is no longer available. Bylaw 6.7 allows us to appoint 2 members of the executive to an audit committee who are not related by blood or marriage who shall audit and sign the year-end financial statement. Lucette and Syl have been asked by the committee to liaise with Elizabeth to do the year end review.

Show Bench:

We will do a ‘show and tell’ for February, non-judged. Betty will send Vince a notice for the newsletter.

Fall Harvest Fair: Lucette- too early to plan yet

September 9th and 10th Sept 8th for set up.

BC Fuchsia Society has been confirmed again with Lorna. Lucette is planning to use the same table set up as in 2022

Membership & Bonsor Liaison: Syl, Dina –

2022 Membership Dues

Due March 1. Syl will encourage members to pay at the February meeting and will send a note to Vince for the newsletter.

Set ups at Bonsor Fall Fair, possible Pot Luck, Christmas will need to be confirmed before each event as there has been miscommunication about set up with the new staff.

Hendrik Meekel will be speaking on Butterflies in the Garden in February. He came highly recommended by Lorna H.  Matt Johnson is confirmed for March, Conway for April, Marilyn Holt for May

AGM

Lucette will send out tentative agenda, proposed budget and balance sheet later this week. Please review and send any feedback to Lucette.

The following motions will be proposed:

Motion:

In order to ensure continuity in operation of the club we put forward a resolution that:

This year 2023 and in all future years, if there are no candidates for the role of President and Vice-President at our annual election, the executive committee members will rotate the role of chairperson and organize monthly club meetings and club business according to the changes voted on at today’s AGM meeting.

Motion:

We put forward a resolution that in future the executive committee members can meet either in person or by electronic means to organize monthly club meeting and club business.

Budget:

Increase speaker amount for 2023 to $800 and ask for feedback. We will present both the balance sheet for 2022 and projected budget for 2023. Bonsor amount will have to be increased in 2023 as we had a credit from the cancelled meetings in 2020 and 2021.

We will consider an $80 donation in honour of the 80th anniversary of the BCCGC. Elizabeth will include in the 2023 proposed budget.

Sofia will be taking minutes at the 2023 AGM. Betty will send her the 2022 minutes for reference.

Send any questions/comments to both Elizabeth and Syl. We are in the black for 2022, close to $1000.

Old Business

Lifetime memberships:

Gene and Joanne are pretty well settled into their new home. Syl will invite them to the February meeting and provide a ride. They will be presented with lifetime memberships at the meeting.

New Business:

Date for executive meetings in future:

Future meetings will be the 3rd Tuesday of the month. Dan is open to hosting meetings in the future.

Date for Plant Sale:

Lucette will call Heather and May 6th will be suggested

BCCGC Purple Flowers Video

Lucette will send the invitation to club members.

Burnaby Blooms May 13-14:

Lucette will be presenting– need to get content t to her by end of January

One on each day for 1.5 hours – $250 each- outside in tent by art gallery. Bring in seeds we picked ourselves perhaps for prize draws or other ideas.

Handouts will include our membership form (shops in Bby, planting schedules etc. Topics are Gardening 101 and Maintaining a Healthy and Vibrant Garden

Lucette will showcase the plant businesses on Marine Drive. Syl will come. Others are invited to come as well.

Planning 2023:

Garden Club visit to Dart’s Hill in May: Ask for interested parties at the AGM. Carpools.

Betty will have something informal in the summer in Langley

Garden tours if anyone interested. Possibly Maria, Jennifer, Dina and Sofia. Consider reaching out to Mandeville. Consider reaching out to the library.

Schedule

Lucette will send the schedule of executive meeting and meeting chairs and dates out.

Next exec meeting will February 21st, Lucette will chair. Sofia will send a zoom invite.
